Position Summary:

The Compliance Associate will work under the supervision and in cooperation with the Compliance Officer to support the Agency Safety Committees, safety related projects and initiatives, assist with maintaining incident reports and policies and procedures across Catholic Charities' programs. The Compliance Associate will work to support the Agency infrastructure to address licensing, risk and compliance issues. The Compliance Associate will have special focus on Early Learning licensing regulations, training, and incident reporting for the licensed childcare centers and classrooms.

The position will perform in accordance with the principles of Catholic Social Teaching. The position will follow the Catholic Charities USA code of ethics and professional code of ethics. It will comply fully with all relevant licensing, certification, legal standards, HIPAA and other applicable federal, state and local laws and regulations.

Responsibilities:

Work with the Compliance Officer and Senior Leadership Team to maintain current policies and procedure manuals required for licensing and operations of Behavioral Health, Early Learning, Child, Youth and Young Adults, Senior Services, Health and Safety, and Facility Maintenance.


  • Assist with maintaining files on the agency network with current policies and procedures.
  • In coordination with facilities manager and CFO, develop a resource and maintenance procedure manual for Agency facilities.
  • Assist in the preparation for licensing reviews and audits, as assigned.
  • Oversee the reporting, audit, and training functions identified for Early Learning classrooms.
  • Track completion of Corrective Action Plans for all required actions needed following an audit, and assist with documentation that demonstrates that plans are fully implemented.
  • Forward final notification of successful completion of CAP for filing with the contract.


    Assist with the maintenance of Training Management Systems


    • Assist with implementation and facilitation of training for staff and managers.
    • Track ongoing completion status of required training.


      Assist with the management and tracking of Incident Reports and Investigations


      • Data entry of incident reports into case management system.
      • Assist with tracking and documenting incident reviews.
      • Monitors implementation of corrective action to address risk issues identified.
      • Provides support for quality improvement activities resulting from review of incidents to address underlying issues.


        In Collaboration with the Compliance Officer, oversee safety and security activities for Catholic Charities


        • Assist with facilitating Safety Committee meetings and maintain meeting minutes.
        • Convene meetings at least quarterly, report on issues that need to be addressed, and coordinate with facilities managers, as indicated.
        • Assist with development and implementation of training for staff and managers on safety related issues and safety related policies and procedures.
        • Assist with coordinating agency-wide emergency drills.


          Assists with Quality Improvement Activities for Agency programs and services as assigned


          • Attends quality meetings and assists with minutes.
          • Assists with implementation and execution of quality improvement projects, as assigned.
          • Completes record reviews/auditing of Agency programs to assure quality of care and compliance with program and contract requirements.


            Perform other Duties as assigned


            • Enhance professional development by identifying pertinent opportunities that contribute to compliance and safety for the organization.
            • Participates in annual performance and professional development review with the Catholic Charities Compliance Officer.

              Qualifications Job Requirements:

              Physical Requirements:

              This position normally requires the physical demands of standing, walking, bending, lifting or performing other work requiring low physical exertion, talking, and hearing on a regular basis to perform the job requirements. These physical demands are required up to 80% of the time.

              Non-Physical Requirements:

              Education


              • Bachelor's degree in Early Learning, Social Work, Business or comparable degree from an accredited college or university


                Experience


                • Experience with best practices in Early Learning is preferred
                • 2 years of experience in human services which includes administration, licensing and quality assurance

                    Licenses, Registration, or Certification


                    • Valid Washington State driver's license and minimum required liability insurance for WA State
